Thrive Software, LLC, doing business as Retrevr (“Retrevr,” “we,” “us,” or “our”) is a Utah limited liability company that provides AI-powered phone answering, appointment scheduling, and business text-messaging services (the “Services”) to businesses (“Clients”). This Privacy Policy explains how we collect, use, share, and protect information when you visit retrevr.io, use the Services as a Client, or call, text, or book with a business that uses Retrevr.

1. Information We Collect
From our Clients (businesses). We collect account and contact details (name, business name, email address, phone number, business address), business configuration (hours, services offered, staff names, booking preferences), records of your communications with us, and billing information. Payments are processed by Stripe, our payment processor; we do not store full payment card numbers.
From our Clients’ customers (callers and texters). When you call, text, or book an appointment with a business that uses Retrevr, we process the contents of those conversations on that business’s behalf. This includes your phone number, your name if you provide it, appointment details, and the messages you send and receive.
Automatically. We collect standard technical data — such as device, browser, IP address, and usage information — when you visit our website or use our web portal, including through cookies and similar technologies.
2. Call Recording & AI Transcription
Calls answered through the Services are handled by an AI agent and may be recorded and transcribed in order to provide the Services — for example, so a business can review its own calls, confirm appointment details, and follow up accurately. Recordings and transcripts are processed by our AI and telephony service providers on our behalf and are made available to the relevant business through its account. Where the law requires notice of or consent to call recording, the business using Retrevr is responsible for providing that notice and obtaining that consent.
3. How We Use Information
We use information to provide and operate the Services (answering calls, sending and receiving text messages, scheduling appointments, and running the client portal); to onboard, support, and communicate with our Clients; to bill for the Services; to maintain security, prevent abuse, and enforce our agreements; to improve the Services; and to comply with law. We do not sell personal information.
4. Text Messaging (SMS) Program
Businesses using Retrevr send and receive text messages with their customers through the Services — for example, appointment reminders, booking confirmations, missed-call follow-ups, and two-way conversational messages — and Retrevr may send its Clients account and service notices by text.
What the SMS program collects and why. To operate text messaging, we process your mobile phone number, your opt-in and opt-out status and related consent records, and the content and delivery data of the messages you exchange. We use this information only to send and receive the messages described above, to honor opt-outs, to keep records required by carriers and applicable law, and to keep the program secure.
No sharing of opt-in data — under any circumstances. Text-messaging originator opt-in data and consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes, under any circumstances. This information is disclosed only to the telephony and messaging service providers that deliver messages on our behalf, solely so they can deliver them.

5. Our Role: Processing on Behalf of Businesses
Retrevr serves businesses. When we handle the personal information of a business’s customers — names, phone numbers, appointment details, call recordings, transcripts, and messages — we do so on that business’s behalf and under its instructions. Each business using Retrevr is responsible for obtaining any consent and providing any notices required by law from its own customers, including for call recording and text messaging.
6. How We Share Information
We share information only with: (a) the business you are communicating with — your conversations with a business belong to that business’s account; (b) service providers who help us operate the platform, including telephony and messaging carriers, cloud hosting, payment processing, email delivery, e-signature, and AI processing providers, each permitted to use the information only to provide services to us; and (c) others where required by law, to protect rights and safety, or in connection with a corporate transaction such as a merger or acquisition, in which case this Privacy Policy will continue to apply to your information. We do not sell personal information, and we never share SMS opt-in data or consent with third parties or affiliates for marketing or promotional purposes.
7. Data Retention
We retain information for as long as needed to provide the Services to the relevant Client, comply with legal and carrier requirements, resolve disputes, and enforce our agreements. Clients may request deletion of their account data by contacting help@retrevr.io. We delete or de-identify information when it is no longer needed.
8. Security
We use industry-standard administrative, technical, and physical safeguards to protect information, including encryption in transit, role-based access controls, and audit logging. We are based in the United States, and information is stored and processed in the United States. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your Choices & Rights
You can opt out of text messages at any time by replying STOP, you can opt out of marketing emails from us at any time using the unsubscribe link in those messages, and you can manage cookies through your browser settings. Because we do not sell personal information or use it for cross-context behavioral advertising, our website does not respond to “Do Not Track” or similar browser signals. Depending on where you live, you may have the right to access, correct, or delete personal information. To exercise these rights, contact us at help@retrevr.io. If your information was collected by a business that uses Retrevr, we may direct your request to that business or assist it in responding, because we process that information on the business’s behalf.
10. Children’s Privacy
The Services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us at help@retrevr.io and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the current version, and material changes will be posted on this page.
